When this is useful
An empty dashboard gives little evidence, but random filler can be equally unhelpful. Good demo data creates a small, coherent story: an item needs attention, the user acts and a meaningful result appears.
The working process
- Define the minimum entities the story needs, such as a project, owner, pending item and completed result. Keep their names and relationships consistent across scenes.
- Use clearly fictional identities and non-deliverable example contact details where appropriate. Prevent demo actions from sending real notifications, placing orders or publishing content.
- Document how to restore the starting state. Capture desktop and mobile from comparable records so the two edits describe the same story without pretending the layouts are identical.
A production example
An illustrative CRM scene can use a fictional company, an open opportunity and a next-step task. The video can demonstrate assignment and stage changes without implying that the opportunity is a real customer or that its amount represents actual revenue.
Limits and checks
Synthetic data should not become fabricated traction. Label illustrative financial values or performance examples where viewers could mistake them for measured results. A fresh account may still lack the permissions or integrations needed for the desired task.
