When this is useful
Live demonstrations can become slow account tours when the presenter has not chosen a task. Recordings can become irrelevant when they assume every buyer has the same problem. Both formats improve when their role in the sales or onboarding conversation is explicit.
How to make the decision
- Identify which questions require interaction. Integration constraints, permissions and unusual workflows often deserve discussion rather than a fixed promotional sequence.
- Prepare a short recorded baseline with the core task and outcome. Note the product version and any conditions needed to reproduce the result.
- For a live session, rehearse the same path with safe data and keep a clearly labelled recording available if the environment fails. Explain when you switch to it.
A practical decision example
An illustrative analytics vendor could send a recording of building one report before a meeting. During the meeting, the presenter could discuss the buyer’s data structure and permission model instead of replaying every basic navigation step.
Limits and checks
Do not present prerecorded footage as a live interaction. A prepared successful example also does not prove that every customer dataset will behave identically. Explain material setup conditions where they affect the decision.
